04 Reconciliation
Four sources that were never designed to agree, made to agree.
Cash closes at the register, gets picked up by the armored carrier, and lands at the bank. The carrier pays commissions on its own statement. The accessory supplier invoices and remits on its own schedule. The payroll provider pays what it was told. myEZData holds each pair side by side and tells the right person the day something drifts.
/ Works with
01 Bank and cash
Register, armored car, bank.
Three numbers, one row.
| Day | Store | POS cash | Armored pickup | Bank posted | Variance | Status |
|---|
Sample data. Hover a status for what triggers it and who gets told.
Bank data
Linked accounts pull posted transactions on a schedule; a CSV upload covers banks without a link. The sync is transactions-first with a resumable cursor, so a slow balance call never blocks the day's postings.
Armored pickups
Pickup records are collected from the armored carrier's portal and matched to the store through its banking identifiers. A pickup without a bank posting is in transit; a close without a pickup is a tripwire.
Statement, calendar, lanes
A statement view per store per month, a calendar of matched and open days, and separate lanes for unpaid deposits and manual matches. Every manual match keeps who and why.
02 Refunds, returns and rebates
Netted where they belong,
counted once.
| Check | Rule | Effect |
|---|---|---|
| Refund detection | A negative subtotal on the store and invoice number. A quantity of minus one is netting, not detection. | Box and payout netted on the rep sheet; store gets an inventory audit reminder if the device never returned. |
| Returns | Returned devices deduct boxes after the carrier maximum; spiffs net; qualifiers count positive only. | Tier and spiff recomputed for the week. |
| Post-date rebates | A rebate the carrier moves to a later period. | Tracked until resolved; the original week stays locked. |
| Short rebate | Carrier credit smaller than the fronted discount. | Deducted, bounded by the fronted amount; restitution posts forward. |
| Carrier billing formula | Rebate plus remorse, dead-on-arrival, cracked-box and exchange lines match the carrier's billing. | The expected rebate total agrees with the carrier invoice. |
| Digital payment sweep | Card-style payments swept against the POS close. | Sweep report per store per day. |
Each check writes to its own report and to the rep sheet through the chargeback pipeline, so the same event is never deducted twice.
03 Carrier statement
Expected against paid,
line by line.
| Rep | ID | Week | Expected | Carrier paid | Delta | Status |
|---|
Sample data. Seven pages behind it: by market, by store, lines, chargebacks, disputes, guides, AI weekly.
04 Supplier receivables
What was ordered, shipped,
received and paid.
| Order | Store | Shipped | Ordered | Shipped total | Open | Status |
|---|
Sample data. Paid state comes from the supplier's remittance file and survives every re-pull of the order feed.
Remittance import
The supplier's payment file is imported by header names and keyed on their order number across every sub-brand. Re-importing the same file changes nothing; an order paid under a different reference is a conflict, not an overwrite.
Received in the point of sale
The POS purchase-order listing is collected every two hours and matched on the supplier's order number, so "received" and "paid" are two different facts on the same order.
Aging tripwire
A Sunday sweep lists every open order past the aging threshold and sends it to the finance group, per sub-brand, with the totals.
05 Month end
Financial recon,
with the calendar read for you.
Payment calendar PDF
The carrier's payment calendar arrives as a PDF. It is read into expected deposit dates and amounts, then matched against the bank feed as deposits land.
Provider reconciliation
The payroll provider's register matched to the calculated run, line by line, so what was paid matches what was approved.
Parity audits
Where the carrier and the dealer define a metric differently, both are computed and shown side by side, so a dispute starts from the same page.
