Privacy Policy

Effective date: October 23, 2026 (updated from the October 19, 2026 version: section 1 and "Retention and deletion").

myEZData ("we", "us") provides a workforce management platform — a web application at myezdata.com and the myEZData mobile app — used by wireless retail dealer groups to manage schedules, time keeping, sales performance, commissions, payroll and internal communications. Accounts are provisioned by your employer (the dealer group you work for); you cannot self-register. Your employer is the data controller for your employment records; myEZData processes that data on the employer's behalf to operate the service.

Information we collect

1. Location (precise)

The mobile app collects your device's precise location in these cases, and only when your employer has turned the feature on:

• When you clock in or out with the app's time clock: we store the coordinates of the punch, their accuracy and the distance from the store, to confirm the punch happened at the workplace.
• In-store beacons: where your store has a beacon, the app notes when your phone arrives at and leaves the store.
• While you are on the clock and away from your store, or on the field clock: if your employer uses these features and you have accepted the in-app notice, the app records your location every few minutes during paid time, including while the app is in the background. On the field clock it also notes when you arrive at and leave stores, and uses that to clock you in and out automatically. Nothing is recorded while you are clocked out, outside your paid time or during an unpaid break, and nothing is recorded inside the store you clocked in at.

Location is part of your employer's time-keeping records. It is visible to you, to the managers above you in your reporting line and to your employer's owners, executives and HR; every view of another person's location is recorded. It is not used for advertising and is not sold or shared with third parties for their own use.

2. Contact information

Your name, work email address and phone number, provided by your employer or by you when updating your profile. Linked to your identity; used for account access, notifications, and internal directory/communication features.

3. Financial information (employment compensation)

Commission figures, payroll hours and pay, bonuses, chargebacks and related compensation records generated by your employment. This is the core purpose of the app — showing you your own numbers. Linked to your identity; visible to you and to authorized managers at your employer per its internal access rules.

4. Identifiers

An internal employee code assigned by your employer, a per-install device identifier, your device platform and app version, and — if you enable push notifications — a push notification token (Firebase Cloud Messaging). Linked to your identity; used solely for authentication, device trust and delivering notifications.

5. User content

Content you submit through the app: form responses and attachments, electronic signatures, support ticket messages, and an optional profile photo. Linked to your identity; used to operate the corresponding features.

6. Diagnostics

Crash reports and basic error diagnostics (app version, device model, error traces) used only to keep the app working. Not used for advertising.

How we use information

• Operating the service: schedules, time-keeping (including location records during paid time where your employer uses it), commissions, payroll, performance reporting, forms, tickets and notifications.
• Authentication, device trust and account security.
• Support and troubleshooting.

What we do NOT do

• We do not sell your personal information — to anyone, ever.
• We do not use your data for third-party advertising or cross-app tracking, and the app contains no advertising SDKs.
• We do not collect location while you are clocked out or outside your paid time, and we never use it for advertising.

Sharing

Your data is visible to you and to authorized personnel at your employer (managers, payroll/finance staff) according to its internal access rules. We use a small set of infrastructure service providers to run the platform (cloud hosting, file storage, push notification delivery via Google Firebase, error monitoring). These providers process data only on our instructions. We disclose information if required by law.

Security

All data is transmitted over HTTPS/TLS. Access is authenticated and role-restricted. Sensitive documents are stored on private, access-controlled storage.

Retention and deletion

Because your account is an employment record, your employer controls how long records are kept. Compensation and time-keeping records are retained for the period required by applicable payroll, tax and labor law, after which they are deleted or anonymized. The times and places that make up your time record (where you clocked in and out, when you left and came back to your store, and the stores you arrived at and left on the field clock) are kept with your payroll records, for at least six years. The detailed route (the location points recorded every few minutes) is deleted after one year; points recorded under an earlier notice that promised 90 days are deleted after 90 days. The record of who viewed a person's location is kept permanently. You may request deletion of your account and associated data at any time — see our Account & Data Deletion page.

Your choices

• Location permission and the in-app notice — you may decline the in-app location notice or the location permission in your device settings; the app's location features will then be off for you and your employer may require another time-keeping method.
• Push notifications — optional; can be disabled in device settings or in-app.
• Profile photo — optional; you can remove it at any time.

Children

The service is for workforce use by adults employed by our customers and is not directed to children under 16.

Changes

We will post any material changes to this policy on this page and update the effective date above.
